This handbook is designed to guide you through the housing application and selection process. It is important that you be fully aware of your opportunities and that you take the appropriate steps as scheduled to ensure your eligibility for on-campus housing. Application and Selection Schedule
Since most upperclass students want to know their housing status by the end of the fall term, housing applications and selections for students in the Classes of 2011 and 2012 will be conducted beginning in October and ending in early December before exams. Applications and selection for members of the Class of 2013 will be held in the spring during January and February.
Descriptions of available spaces: Descriptions and floor plans are available on the Housing web site. We have provided these descriptions to the best of our knowledge, but it is the student's responsibility to visit the various options to confirm the descriptions.
Note that some apartments, townhouses and rooms may not be available for selection, since resident assistants, RHO managers, some athletic teams, and students with disabilities are housed prior to Housing Selection.
Apartments/townhouses with fewer than 4 occupants: Please note that any two or three person apartments or townhouses available for selection will be offered in the Residence Hall Selection, since sign-ups for that selection can be fewer than four students. Students who select a three-person apartment or townhouse may want to add a third member later. Single applicants are therefore advised not to select these spaces during the online selection process.
Triples in residence halls: A separate selection phase for the triples within residence halls that will be available during the next academic year is held as part of the spring selection. Students will be able to sign up in groups of three for that selection process.
On-Line Housing Selection Process
Housing Selection Code: Students will be issued a unique Housing Selection Code which they will use throughout the housing application and selection process. Students will receive this code via their Georgetown email before the start of the housing application process. It is important that you make sure that your Georgetown email account is active and that your account is not over quota. Your Selection Code also will be listed on your "Housing-at-a-Glance" page.
All housing applications and selection will be done online on housing's web site. To make an application, please go to housing's web site: http://housing.georgetown.edu/academic and click on your Housing-at-a-Glance page. You will be able to enter your application from that page during your scheduled application period.
For further information on how the online selection system works, go to the housing web site and click on your Housing-at-a-Glance page. Under Housing Selection Information you will be able to click on (1) On-Line Selection Demonstration and (2) On-Line Description. It is important that you check these two web sites prior to the time for you to select housing so that you will be familiar with how it works.
Group Sponsor: Please note that if applying in a group, the members must select one group member as a Group Sponsor to represent the group when entering an application and making a housing selection on line. There can be no substitution of members after entering the application unless there are important extenuating circumstances that would require reforming the group. The group members who applied together must select together and the Group Sponsor must remain the same throughout the process.
Housing Selection Eligibility
Please note that only students who are declared "eligible for selection" may participate in the housing selection process or add into apartments and townhouses. The number of students who are declared eligible to participate will be determined by the number of spaces available on campus.
Class of 2013 - All students in the Class of 2013 are eligible to enter the housing selection process and are required to live on campus unless an exemption is granted by the Executive Director of Student Housing.
Exemptions are granted only for a student whose local residence is with parents or close relatives, or who will attain the age of 21 prior to the start of the fall term, or if married or living with a dependent. Exemptions for medical needs also will be considered if the needs cannot be met by on-campus housing. Forms to request exemption are available on the housing website listed above and are also available in the Housing Office in 103 Harbin Hall. The deadline to submit this form is January 25, 2010.
Classes of 2011 and 2012 - The Housing Office would like to accommodate as many students in these two classes as possible. In order to determine the number of students who are interested in living on campus, students are asked to sign up to be eligible to select housing. If too many students sign up, there will be a cut-off point, with students after that point being put on a wait list. If eligible students do not select housing, then students on the wait list will be offered housing.
Note that students in the Classes of 2011 and 2012 who are granted eligibility to select housing will have their eligibility expire on November 23 if they have not selected housing. Students granted eligibility must have selected a residence during one of the selection phases by this time. After that date, students on the wait list will be offered housing as it becomes available.
Eligibility Ranking Point System
for Classes of 2011 and 2012
Applications are sorted by computer to determine eligibility for selection. Students may sign up in groups of one, two, three, or four. The computer will use the average of the groups' points in the sort. For example, if all four members of the group have three points, then the average for the group is 3. If one member has two points and the other three members have three points, then the average is 2.75 Groups with 3 points will be sorted first, followed by other groups, according to the group averages.
Students will be ranked as follows. This ranking will remain through housing selection.
- Students in the class of 2011 who did not live on campus during the Fall 2009 semester will be ranked 4 points.
- Students in the class of 2012 who are choosing to live on campus for their junior year also will be ranked 4 points.
- Students in the class of 2011who lived on campus during the Fall 2009 semester will be ranked 3 points. This includes junior transfers.
- Students in the class of 2013 will be ranked 2 points. Students in this class should not apply for eligibility since they are required to live on campus.
If you are in the class of 2010 and not graduating with your class, please contact the Housing Office if you wish to participate in Housing Selection.
Please note that a student's ranking is determined by how he/she is classified by the dean's office, which is reflected in the Registrar's Student Information System. If transfer credits have changed your class year (U1, U2, U3, U4), please check with the Housing Office to make sure that your classification is correct in the Housing database. Your classification determines the points you will receive in Housing Selection.
Eligibility Sign-Up Schedule
for Classes of 2011 and 2012
Students in the Classes of 2011 and 2012 may sign up for housing eligibility beginning October 13, 2009 at noon. Sign-up ends on October 20, 2009 at noon. To enter your request for eligibility, go to the Housing Services web site at: http://housing.georgetown.edu/academic and click on your Housing-at-a-Glance page. Results of the computer sort, based on rankings, will be posted on October 22, 2009. Students who are granted eligibility may sign up for selection, which will be held in three phases.
Application/Selection Periods
for Students in the Classes of 2011 and 2012
There will be four application/selection periods during which students may select on-campus housing. Eligible students may enter any of the selection periods until they select a housing space.
Class of 2013 group member: Please note that if students in the Classes of 2011 and 2012 want to include one or more members of the Class of 2013 in their group, they will have to enter with that class during the spring semester. In that case, they need to notify the Housing Office that they will be entering the Class of 2013 selection periods so that an appropriate number of spaces will be held. Otherwise their eligibility will expire on November 23, after upperclass students select residence hall rooms. Note that if an upperclass student drops from the apartment group with members of the Class of 2013, all members will be re-assigned to residence hall rooms, since the upperclass student would have given the group priority in apartment selection.
In order to apply, eligible students must sign up on line at the Housing web site (http://housing.georgetown.edu/academic/) during the application periods listed below. Go to your Housing-at-a-Glance page to enter your application.
Application/Selection Period One: This period includes single rooms in Kennedy, McCarthy, Reynolds, and LXR. (The three single rooms in Copley are reserved for students with a medical need.) Eligible students in the classes of 2011 and 2012 may sign up for single rooms. Applications will be accepted from noon Monday, October 26, 2009 through noon on Wednesday, October 28, 2009. The selection order will be posted by noon on Thursday, October 29, 2009. Selection will take place on Saturday, October 31, 2009, at times posted.
Application/Selection Period Two: This period requires a basic group of four. It includes apartments, townhouses, and Copley suites. Applications will be accepted from eligible students in the Classes of 2011and 2012 from noon on Monday, November 2, 2009 through noon on Wednesday, November 4, 2009. Apartment selection order will be posted at 9:00 a.m. on Thursday, November 5, 2009. Selection will occur on Saturday, November 7, 2009, at times posted.
Students will have until 5:00 pm Friday, November 13, 2009 to name friends to fill spaces in apartments and townhouses which house more than 4 students. After that date, these spaces may be offered in application/selection period three, to the wait list or reserved for transfer students.
In order to fill a vacancy, a link will be provided on the Housing-At-A-Glance site for a person(s) to be electronically designated into the vacancy or all members of the group must sign a Vacancy Filling Form, which may be found in the Forms and Documents section online or may be obtained from the Housing Office requesting the additional member. The student adding into the apartment or townhouse needs to bring that form to the Housing Office and sign a Housing Occupancy Agreement online for the space by Friday, November 13, 2009.
Application/Selection Period Three: This period includes double occupancy residence hall rooms and any apartments or townhouses which house fewer than 4 students. Applications will be accepted from eligible students in the Classes of 2011 and 2012 from noon on Monday, November 16, 2009 through noon on Wednesday, November 18, 2009. Selection order will be posted at 9:00 a.m. on Thursday, November 19, 2009. Selection will occur on Saturday, November 21, 2009, at times posted.
Important: Please note that the online application and selection system will not accommodate pulling up a friend to share a room. It is therefore advisable to enter with a friend with whom you wish to live. If you go in as a single, other single applicants will have the opportunity to choose the other space in your room. In order to preserve double rooms for friends who want to be roommates, single applicants will be limited to selecting rooms with other single applicants of the same gender on the floor. If you do not want to select that particular room, you may choose another floor on which no single applicant has yet selected. All spaces will be filled.
Selection Period Four: This period will be for those students who are on the Wait List. If there are additional spaces remaining for students in the classes of 2011 and 2012, such as apartments, apartment spaces, or residence hall rooms that remain open for upperclass students, these spaces will be offered to students on the Wait List. Students on the Wait List will be contacted as space becomes available in the order they were listed for eligibility. However, students who wish to select from any remaining completely vacant apartments will have select in groups of four and select from the available apartment. As wait list students are notified, more information will be provided about selection.
Application/Selection Periods

Selection will occur on Thursday, February 11, 2010 at times posted. Any spaces not selected during this selection period will be offered during Application/Selection Period Three.
Application/Selection Period Three: This period includes double occupancy residence hall rooms. Applications will be accepted from noon on Thursday, February 18, 2010 through noon on Tuesday, February 23, 2010. Selection order will be posted by 9:00 a.m. on Thursday, February 25, 2010. Selection will occur on Saturday, February 27, 2010, at times posted.
Important: Please note that the online application and selection system will not accommodate pulling up a friend to share a room. It is therefore advisable to enter with a friend with whom you wish to live. If you go in as a single, other single applicants will have the opportunity to choose the other space in your room. Special Housing Opportunities and Requests
Students with Medical Needs:
If you are a student with a medical need who requires special housing consideration, you must make an appointment with the Academic Resource Center, located on the 3rd Floor of the Leavey Center, and pick up medical forms from that office. If you have any questions, contact the office at 687-8354 or via email at arc.georgetown.edu. Special housing consideration must be applied for annually.
You are also responsible for seeing that your health care provider completes the required documentation and that he/she returns their portion of the form in order for your request to be considered. Your health care provider may mail the form directly to: Academic Resource Center, 335 Leavey Center, Georgetown University, Washington DC 20057. Forms may also be sent via FAX to 202-687-0077. All medical information and files will be kept confidential.
Your health care provider's documentation must provide enough detail to allow the Student Primary Care Clinic, the Academic Resource Center, and the Housing Office to make an independent judgment of the need for your request. The health care provider must be an impartial individual who is not a family member. The Housing Office, in consultation with the Academic Resource Center, will then make a decision regarding the type of housing which would best meet your needs. It is important that all deadlines be met in order for a timely decision to be made. Residents will not be asked to move to accommodate your request if you have missed a deadline.
You are responsible for looking at the various housing alternatives to suggest which housing would best meet your medical needs, but the final decision will rest with the Housing Office. Students whose medical conditions require a single room or a handicapped living arrangement will be assigned prior to Housing Selection. Other students with a medical need for specific housing arrangements will be required to enter the housing selection process to obtain a selection number within their classification. If their selection number does not permit them to select an apartment or room to meet their needs, they will be assigned to appropriate housing.
Dietary Requirements:
All upperclass residence halls have a kitchen on each floor, with the exception of the floors in Village C where computer labs are located, for those students who wish to prepare their own meals. Students with dietary needs will not be given any priority for apartments. Students with specific dietary needs can request special meals through Dining Services.
InterHall Council Housing Raffle:
The InterHall Council will sponsor a raffle for housing picks to raise revenue for the Council to use for the residence halls. Tickets will be priced at a reasonable cost so that everyone will have an opportunity to purchase a ticket and have an equal chance to win. Look for additional information at http://interhall.georgetown.edu/.
Living Learning Communities (LLC):
Each program is a residence hall community comprised of students, faculty, and administrators who share a commitment to a special interest. Listed below are some of the programs in place for the Academic Year 2009-2010. More programs may be added during their proposal submission process.
- Muslim Interest Community, whose members present a variety of programs relating to their faith.
- Global Living Center, whose theme is international and intercultural issues
- Living Well Community, whose theme is physical, intellectual, and spiritual well-being.
- Justice and Diversity in Action, whose members share a commitment to justice, service, and social change.
- Culture & Performance Living & Learning Program, whose goal is to link students' passions for culture and performance with educational outcomes.

Current members of living learning communities must reapply to participate on the floor and must apply and be granted eligibility if part of the class of 2011 or 2012.
International Roommate Program (IRP):
The International Roommate Program, co-sponsored by the Office of International Programs and the Housing Office, pairs Georgetown undergraduate students with international students who are studying here under an exchange arrangement or who are transfer students from foreign countries. Application can be made for a double room to be shared with an international student or an apartment to be shared with other Georgetown students and a foreign student. The international
student may not be one of the four original group applicants, but may be an added member.
IRP applications are available on the Housing web site. Applications are due as follows:
Classes of 2011 and 2012 - Monday, November 9, 2009 with results available by 5:00 p.m. on Thursday, November 12, 2009.
Class of 2013 - Monday, February 8, 2010, with results available by 5:00 p.m. on Thursday, February 11, 2010.

Transfer Student Roommates:
If you would like to have a transfer student as a roommate for the 2010-2011 academic year, you should complete the Transfer Roommate Application form by Wednesday, November 11, 2010 for classes of 2011 and 2012 and by Monday, February 8, 2010 for class of 2013. Applications are available on the Housing web site. You may choose a double room and ask that the other space be reserved for a transfer student. The Housing Office will provide you with a Transfer Selection Code so that you can include a transfer when you apply and select your housing. Otherwise, the space in your room may be selected by another current student.
Students in apartment or townhouse groups can request a transfer student to join their group, but the transfer student may not be one of the four original group applicants. This request must be made in writing, signed by all the roommates, and delivered to the Housing Office before 5:00 p.m. on Friday, November 13, 2009 for students in the Classes of 2011 and 2012 and by Friday, February 12, 2010 for students in the class of 2013.
Absent Students: Study Abroad and LOA Student Fall 2009/Spring 2010
Students who are studying abroad need to provide their group sponsor with their Selection Code if selecting as part of a group. Students selecting as an individual may sign up as part of the normal selection schedule. After groups have selected housing, the students abroad will be notified of their assignments via email. Students must sign the online Housing Occupancy Agreement to confirm that they accept the spaces selected for them. If the Agreement is not signed within two weeks after notification, the students will be removed from the spaces and the spaces will be offered to the Wait List.
Students on leave of absence may not participate in the selection process. A student returning for the academic year may apply for available housing once they have been cleared to return to school.
Students Applying to Study Abroad Fall 2010/Spring 2011:
Students who are applying to Student Abroad for Fall 2010/Spring 2011 will not receive the results until after the housing application period. It is therefore advisable to enter housing selection as if you will not be selected. Names of students chosen to study abroad are provided to the Housing Office. The Housing Office then notifies these students of the date when the assignment will be dropped. This will result in no drop penalty for the student. Apartment/townhouse groups may choose a replacement within three business days of the remaining residents being notified that a student has dropped their housing assignment to study abroad. The space you chose will not be held for you for spring semester. You may return to that location if a space opens for the spring term.
Those needing housing for only the spring semester 2011 should contact the Housing Office to sign up for the Spring Semester Wait List. There are usually ample spaces available on campus in the spring.
Resident Assistants:
Students who have applied for a Resident Assistant (RA) position will not receive the results until after the housing application period. It is therefore advisable to enter the housing selection as if you will not be selected as a RA. Then if you are chosen, you may switch your housing with no penalty and your apartment/townhouse group may choose a replacement. The deadline for choosing your replacement will be within three business days of the remaining residents being notified that a student has switched to a RA housing assignment.
Housing Occupancy Agreement (HOA)
The Housing Occupancy Agreement is available on the Housing web site. To reserve the housing you selected, you must provide an electronic signature within three days of selection, indicating your agreement to abide by the terms in the Agreement. Carefully read the provisions of the Agreement to understand what your are signing, since you will be legally bound by the terms of this Agreement for the entire academic year (unless you go abroad for the spring term). It contains the cancellation fees for terminating the Agreement after it has been signed.
To avoid paying a cancellation fee, students who want to drop their housing are permitted to exchange their Housing Agreement with another eligible student. The other student must not have signed an Agreement and must not be required to live on campus (freshman or sophomore).
Agreement Exchanges will not be accepted before March 15, 2010. If a Wait List exists, the exchange must be offered to a person on the list, starting with the first person in line.
Please note that you have three days to sign this Agreement online after making your housing selection. At the end of that time, if you have not signed your Occupancy Agreement, your space will become available for another student to select. Students who are abroad or on leave of absence will be given two weeks after the date of notification of their assignment to sign the Agreement online.
The Georgetown University community needs to be prepared for any emergency that might occur. Please be aware that it might be necessary in such an emergency to temporarily place one or more Georgetown students in your apartment or townhouse. These students would occupy either a vacant space or might need to occupy the living-room area until permanent housing arrangements can be made or the emergency can be resolved. We appreciate your cooperation if such a situation should occur.
These townhouse residences, 3517 and 3519 Prospect Street, have been designated for use as a potential isolation space in the event of an infectious public health need. Students assigned to or who select this residence will be required to vacate the space if required. In the event of such an emergency, students may be provided little to no notice to move but will be provided with assistance to relocate to available vacancies in campus housing. We appreciate your cooperation if such a situation should occur.
