You have been approved for early arrival as you requested or as was requested by a department or organization on your behalf. Since you are housed off campus, your academic year assignment is not ready for occupancy or your early arrival program is assigned to space other than your academic year assignment, you have been assigned to a temporary space in [building of temporary assignment] with a move-in date of [check-in date]. You will be assigned to [building of temporary assignment] when you check in.
Key Pick Up
You may pick up the key to your temporary assignment between 4:00 pm and 9:00 pm on the date indicated above. If you currently reside on campus for the summer, you should begin your check-in to the temp residence at 10am to be completed by 4:00 pm the same date. Returning students who were not summer residents may pick up your key as early as 4:00 pm at the Residence Hall Office of the building you are assigned. (Alumni Square RHO for Alumni Square and Townhouses, East Campus RHO for LXR and Nevils, Village A/New South for Village A and New South, Kennedy for Kennedy, McCarthy and Reynolds, Darnall/Henle RHO for Darnall and Henle, Village C/Harbin for Village C and Harbin). All RHOs are open from 9 am - 9 pm except for Village C, which is open 24 hours daily.
While you stay in temporary housing, you will be issued a Conference Visitor Pass to grant you access into your temporary residence. Failure to return this Conference Visitor Pass upon check-out of your temporary assignment will result in a $15 charge applied to your Student Account.
You have been approved to move from your temporary assignment into your fall on-campus housing assignment on [date of move]. You should begin your move from your summer assignment to your fall assignment at 10:00 am to be completed by 4pm on the same date.You may pick up your key at the fall Residence Hall Office which serves your building. (Alumni Square RHO for Alumni Square and Townhouses, East Campus RHO for LXR and Nevils, Village A/New South for Village A and New South, Kennedy for Kennedy, McCarthy and Reynolds, Darnall/Henle RHO for Darnall and Henle, and Village C/Harbin for Village C and Harbin). All RHOs are open from 9 am - 9 pm except for Village C, which is open 24 hours daily.
If you are in temporary housing moving off campus, you must remove your belongings and return your key to Village C by 8:00 a.m. of the departure date.
Nobody may remain in temporary housing after 8 a.m. on the assigned checkout day.
The RHOs are open from 9:00 a.m. - 9:00 p.m. Village C Hall is open 24 hours daily. If you return your key when the RHO is closed, you forfeit receiving a receipt, which is the only official proof that your key was returned. You must bear financial responsibility if there is a question whether you returned the key. If you do not return your room key to the RHO, you will be fined $100 daily and charged $50 for a lock change. Belongings that are left behind will be disposed.
Parking and Unloading
All early arrival move-in traffic must enter campus via the Canal Road entrance. Once on campus, you must park and unload personal items from your vehicle in the Southwest Garage. Please present this "early arrival confirmation" notice to the booth attendant for garage access. Due to the large volume of pedestrian activity and preparations for the Freshman Move-In, parking and/or temporary stopping to unloading will NOT be permitted on roads or walkways around the residence halls and apartment complexes. Parking or stopping to unloading in areas other than the Southwest Garage will result in ticketing and/or towing of vehicles.
Cart Rental
There are a limited number of carts available to assist in your move-in. Please see your "Housing-At-A-Glance" page for reservation information.
It is essential that you secure your valuables since painting, cleaning, construction, lock changes, telephone testing, etc., will still be in progress. The University will not be held liable for the loss of or damage to any personal property.
Please retain this letter for your records and place a copy of this letter on both the inside and outside of the entrance to the room, apartment, or townhouse space you are occupying until August 26, 2009.
